Winning Proposal Architecture
When to use
You've completed conceptual agreement and the economic buyer has confirmed objectives, measures, and authority. Now you write the proposal. Use this structure to increase acceptance rates. The architecture mirrors the buyer's thinking: "Here's your situation and goals. Here's our approach. Here's the investment and value."
The framework
- Situation & Opportunity: Restate the client's current state and the gap to their desired future. Include specific metrics they mentioned. This shows you listened and understood.
- Objectives & Measures of Success: Mirror back the 3-5 specific objectives and metrics you agreed on in the discovery call. No surprises. No new goals introduced here.
- Methodology & Timeline: Explain your approach in plain language (not jargon). What will you do, in what order, and over what timeframe? Include milestones and deliverables. Keep it concrete.
- Roles & Responsibilities: Detail what you'll do and what the client commits to (access, decisions, resources). This is the accountability contract.
- Three-tier fee structure: Present Good/Better/Best, NOT discounts. Each tier adds value (additional deliverables, deeper involvement, longer engagement, post-project support). Price them 30-40% apart.
- Terms & Next Steps: Specify payment terms (net 30, milestone-based, etc.), project start date, and duration. Include non-cancelation language if relevant: "Once accepted, the engagement cannot be cancelled; deferral is allowed upon mutual agreement."
